JOB SUMMARY
Certifies the long-term value and integrity of the district’s permanent, archival and/or vital records to ensure compliance with ANSI/AIIM standards and the Texas State Library and Archives Commission guidelines. Works with the document imaging supervisor to implement process improvement, corrective action, and staff training to achieve quality control and the protection of all electronic and microform media utilized for the preservation of essential district records.
MAJOR DUTIES & RESPONSIBILITIES
- Reviews electronic/microform images, electronic/analog databases, and online index values to ensure all professional and legal standards are met.
- Performs records conversion functions of highly confidential or complex documents as needed.
- Takes corrective action to improve the quality of the creation and utilization of all images and index metadata, and ensures all images and indexes meet or exceed the customer’s expectations.
- Establishes and documents quality controls for new imaging projects, tests production outputs to ensure standards are met and maintains ongoing inspections to confirm compliance with project authorizations. Audits existing long-term projects to certify the quality standards are still being met.
- Leads annual microfilm quality inspections of at least 10% of the microfilm inventory. Ensures microfilm integrity, density, resolution, and physical condition of the film have not been compromised by substandard storage facilities and/or improper staff handling.

EDUCATION
Associate Degree or 60 hours or equivalent experience

LEADERSHIP RESPONSIBILITIES
No supervisory or direct people management responsibilities. May provide occasional work guidance, technical advice and training to staff.
WORK COMPLEXITY/INDEPENDENT JUDGMENT
Work involves the application of moderately complex procedures and tasks that are quite varied. Independent judgment is often required to select and apply the most appropriate of available resources. Ongoing supervision is provided on an "as needed" basis.
BUDGET AUTHORITY
No budget development activity is required.

Decisions are made on routine matters affecting few individuals and usually within the confines of the job's own department. Specific job activities and results are typically reviewed closely. There are limited requirements for developing new ideas or changes in methods, procedures or services.
IMPACT OF DECISIONS
Follows rules and procedures. Decisions can have minimal or no impact to HISD. Errors can be readily detected, usually by the employee, and, if made, would result in minor expense for correction.

Information sharing - gives and receives information such as options, technical direction, instructions and reporting results. Interactions are mostly with customers, own supervisor and coworkers in own and other departments.

Takes routine or required customer actions to meet customer needs. Responds promptly and accurately to customer complaints, inquiries and requests for information and coordinates appropriate follow-up. May handle escalated issues passed on from coworkers or subordinates.
WORKING/ENVIRONMENTAL CONDITIONS
Work is normally performed in a temperature controlled work environment and involves some exposure to moderate risk of accident and requires following basic safety precautions. Occasional exposure to unpleasant elements such as dirt, dust, odor of old records. Substantial movements of the wrists, hands, fingers, and/or upper body for sustained periods of time, including using extremities to drag, push, pull or grasp. Must be able to see and read computer screens, detect color coding, etc. Must be able to detect specific noises, proper equipment operation. Job includes sitting for sustained periods of time.
Ability to carry and/or lift between 15 – 45 pounds.
