JOB SUMMARY
The Program Manager 2 provides comprehensive administrative and operational support to the Human Resources Business Partnerships and Employee Services departments. This role ensures that assigned HR initiatives, documents, and websites remain current, accurate, and well-organized. The position requires exceptional attention to detail, strong organizational skills, and the ability to coordinate across teams to maintain progress, communication, and accountability.
MAJOR DUTIES & RESPONSIBILITIES
1. Coordinate scheduling, prepare meeting agendas, take detailed notes, and distribute follow-up actions for departmental and cross-functional meetings.
2. Maintain and regularly update departmental websites, SharePoint pages, and published HR documents to ensure accuracy and accessibility.
3. Assist with preparing weekly and recurring communications such as the Chiefs Weekly and HR Insights for the CHRO.
4. Develop and maintain department forms, templates, and other resources to support consistent and efficient operations.
5. Track team deliverables and deadlines, providing regular reminders and support to ensure timely completion.
6. Compile data/information, draft summaries, and assist in creating presentations or reports as assigned.
MAJOR DUTIES & RESPONSIBILITIES CONTINUED
7. Perform other administrative and program support duties as assigned for the HR Business Partnerships and Employee Services departments.
8. Support initiatives that contribute to meeting HR’s new KPIs, including collecting updates from team members to track progress and produce periodic status summaries.
9. Provide administrative support to the HR CTM for internal HR audits by coordinating schedules, meetings, and testing sessions; communicating requirements and deadlines; collecting and organizing documentation; preparing meeting recaps; and tracking deliverables and completion timelines.
10. Perform other related duties as assigned to support departmental operations, initiatives, and priorities.
EDUCATION
Bachelor's degree in a relevant field.
WORK EXPERIENCE
Proven experience (typically 5+ years) in project/program management, preferably in a school district or another fast-paced, high-performance environment. Familiarity with the Human Resources industry is desired.
SKILL AND/OR REQUIRED LICENSING/CERTIFICATION
• Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines simultaneously.
• Excellent written and verbal communication skills, including the ability to draft professional correspondence, summaries, and meeting notes.
• High attention to detail and accuracy in preparing documents, managing data, and maintaining records.
• Proficiency with Microsoft 365 (Outlook, Teams, Excel, Word, PowerPoint, SharePoint) and comfort learning new systems or platforms.
• Ability to coordinate schedules, meetings, and deliverables across multiple stakeholders and teams.
• Proven ability to maintain confidentiality and handle sensitive information with discretion.
• Strong interpersonal skills with a customer-service mindset and a collaborative approach to working with cross-functional teams.
• Experience presenting or facilitating discussions in meetings or trainings, ensuring clarity, engagement, and follow-through.
LEADERSHIP RESPONSIBILITIES
Work Leadership. Regularly provides project management or team leadership to a group of two or more employees, but does not have formal supervisory responsibility. Leading and directing typically involves monitoring work and providing guidance on escalated issues. Most of work time is spent performing many of same duties they are leading.
WORK COMPLEXITY/INDEPENDENT JUDGMENT
Work involves the application of moderately complex procedures and tasks that are quite varied. Independent judgment is often required to select and apply the most appropriate of available resources. Ongoing supervision is provided on an "as needed" basis.
BUDGET AUTHORITY
No budget development activity is required.
PROBLEM SOLVING
Decisions are made on both routine and non-routine matters with some latitude, but are still subject to approval. Job is occasionally expected to recommend new solutions to problems and improve existing methods or generate new ideas.
IMPACT OF DECISIONS
Decisions have minor, small and possibly incremental impact on the department or facility. Errors are usually discovered in succeeding operations where most of the work is verified or checked and is normally confined to a single department or phase of the organizational activities resulting in brief inconvenience.
COMMUNICATION/INTERACTIONS
Collaborate and solve problems - works with others to resolve problems, clarify or interpret complex information/policies, and provide initial screening/negotiations without approval authority. Interactions are typically with customers, senior level professional staff, and managers.
CUSTOMER RELATIONSHIPS
Takes routine or required customer actions to meet customer needs. Responds promptly and accurately to customer complaints, inquiries and requests for information and coordinates appropriate follow-up. May handle escalated issues passed on from coworkers or subordinates.
WORKING/ENVIRONMENTAL CONDITIONS
Work is normally performed in a typical interior work environment which does not subject the employee to any hazardous or unpleasant elements. Ability to carry and/or lift less than 15 pounds.
