JOB SUMMARY

MSAP Clerk 2 will provide comprehensive administrative support and executing various clerical tasks within the department. This position will collaborate with various departments and play a key role in maintaining accurate records, managing data, and facilitating effective communication. The role requires strong organizational skills, attention to detail, and ability to handle multiple responsibilities which will contribute to the efficient operation of our team.

MAJOR DUTIES & RESPONSIBILITIES

1. Assist in compiling and analyzing data, generating reports, and creating presentations using software tools like Microsoft Office or other designated applications.

2. Maintain and update databases, spreadsheets, and other electronic systems with accurate and current information.

3. Assist in organizing and maintaining physical and digital files, ensuring easy retrieval and adherence to record retention policies.

MAJOR DUTIES & RESPONSIBILITIES CONTINUED

4. Coordinate and schedule meetings, appointments, and conferences, including booking venues, arranging catering, and preparing meeting materials.

5. Collaborate with internal teams and external stakeholders to gather information, ·address inquiries, and provide necessary support

6. Maintain confidentiality and handle sensitive information with discretion and professionalism.

7. Other duties as assigned.

EDUCATION

High School Diploma or GED

WORK EXPERIENCE

3 to 5 years’ proven experience in an administrative or clerical role, preferably as a Clerk 1 or similar position.

Applicants who do not meet the work experience qualifications may be considered if they have a unique combination of education and work experience that includes potential for success in this role.

SKILL AND/OR REQUIRED LICENSING/CERTIFICATION

Effective written and verbal communication skills with the ability to interact professionally with individuals at all levels. Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines. Commitment to maintaining confidentiality and handlining sensitive information with integrity.

Strong attention to detail and accuracy in data entry, record-keeping, and document preparation.

Office equipment (e.g., computer, copier)

LEADERSHIP RESPONSIBILITIES

No supervisory responsibilities. May provide occasional work guidance, technical advice, and training to staff.

WORK COMPLEXITY/INDEPENDENT JUDGMENT

Work and tasks are often straightforward, routine, structured and guided by established policies and procedures. Little, if any, independent judgment is required, outside of making basic choices in the selection and application of established methods. The job receives frequent, ongoing supervision

No budget development activity is required.

Decisions are made on routine matters affecting few individuals and usually within the confines of the job's own department. Specific job activities and results are typically reviewed closely. There are limited requirements for developing new ideas or changes in methods, procedures, or services.

IMPACT OF DECISIONS

Follows rules and procedures. Decisions can have minimal or no impact to HISD. Errors can be readily detected, usually by the employee, and, if made, would result in minor expense for correction.

COMMUNICATION/INTERACTIONS

Basic communication - very little communication required such as receiving basic instructions. Interactions are mostly with customers, own supervisor, and co-workers in own department.

CUSTOMER RELATIONSHIPS

Follows through with customer inquiries, requests, and complaints. Forwards difficult and non-routine inquiries or requests to appropriate level for resolution.

Work is normally performed in a typical interior work environment which does not subject the employee to any hazardous or unpleasant elements.

Sitting: Particularly for sustained periods of time.

Visual Requirement: Able to see and read computer screens, detect color coding, ect.

Hearing Requirement: Able to detect specific noises, proper equipment operations.
