JOB SUMMARY

The Cross-Functional Team Member for Maintenance and Repairs supports the efficient coordination, execution, and follow-up of maintenance activities across the district’s facilities and support facilities. Working collaboratively with trades teams, Building Services Managers (BSMs), school leadership, and operations staff, this role ensures timely response to work orders, enhances communication between departments, and contributes to the overall functionality, safety, and appearance of district facilities.

MAJOR DUTIES & RESPONSIBILITIES

1.    Work Order Coordination & Follow-Up
•    Monitor daily maintenance work orders through the Computerized Maintenance Management System (CMMS) and assist with prioritizing urgent or high-impact issues.
•    Support dispatching, scheduling, and status tracking for maintenance technicians and trades teams.
•    Verify completion and quality of repairs and communicate updates to campus and support facilities stakeholders.
•    Help identify recurring issues or systemic repair needs for long-term planning.
2.    Cross-Department Collaboration
•    Serve as a liaison between campuses, support facilities, maintenance trades, custodial, grounds, and operations teams.
•    Participate in scheduled planning and coordination meetings to align facility needs with resource availability.
•    Support emergency response coordination during critical facility issues (e.g., HVAC outages, water outages, leaks, power loss, etc.).

3.    Campus Engagement & Customer Service
•    Maintain regular contact with campus Building Services Managers and division administrators to understand and document facility priorities.
•    Provide real-time communication and customer service regarding repair timelines and potential impacts to instruction.
•    Conduct follow-up visits or calls post-repair to ensure satisfaction and identify additional needs.

4.    Documentation & Reporting
•    Ensure timely and accurate entry of maintenance data/notes, labor hours, materials used, and service outcomes into CMMS.
•    Assist with compiling reports on work order performance metrics, technician productivity, and repair trends.
•    Contribute to preventive maintenance tracking and seasonal maintenance planning efforts.
5.    Performs other job-related duties as assigned.

EDUCATION

•    Vocational/Technical/Business School preferred
•    Associate’s degree preferred.
•    Bachelor’s degree preferred.

WORK EXPERIENCE

•    Minimum of 3+ years of proven experience in a similar industry or organization.
•    Familiarity with building systems (HVAC, electrical, plumbing, structural) and school environments strongly preferred.    

SKILL AND/OR REQUIRED LICENSING/CERTIFICATION

•    PeopleSoft, SAP, Microsoft Office, Office equipment (e.g., computer, copier), Hand tools (e.g., hammer, shovel, screwdriver).
•    Ability to communicate effectively in both written and oral forms with all levels of management both internal and external district.  
•    Vehicles (e.g., automobile, truck, tractor, forklift) 
•    Must possess valid driver’s license and a driving record in good standing with the State of Texas and HISD; May be required to use company vehicle to travel to and from assigned campuses.
•    Strong ethical standards and integrity in decision-making. 
•    Professional certifications or memberships relevant to the industry or leadership role are desirable.    

LEADERSHIP RESPONSIBILITIES

Provides day-to-day direction to staff; may become directly involved, as required, to meet schedules and resolve problems. Responsible for assigning work, meeting completion dates, interpreting and ensuring application of policies and procedures. Receives assignments in the form of objectives, with goals and the process by which to meet goals. Allocates resource according to priorities and serves as primary decision maker regarding hiring, performance, and budget recommendations.

WORK COMPLEXITY/INDEPENDENT JUDGMENT

Split between office and field environments; must be able to travel to school sites across the district. Occasional evening, early morning, or weekend hours may be required for emergency response or special projects. Work is substantially complex, varied and regularly requires the selection and application of technical and detailed guidelines. Independent judgement is required to identify, select, and apply the most appropriate methods as well as interpret precedent. Position regularly makes recommendations to management on areas of significance to the department and/or division. Supervision received typically consists of providing direction on the more complex projects and new job duties and priorities. 

BUDGET AUTHORITY

Participates in a group plan and/or advises on budget development.

PROBLEM SOLVING

Decisions are made on both routine and non-routine matters with some latitude but are still subject to approval. Job is occasionally expected to recommend new solutions to problems and improv existing methods or generate new ideas.

IMPACT OF DECISIONS

Decisions have considerable impact to multiple divisions of the organization causing risks or improvements to relationships, significant efficiencies, or delays in operations, and/or significant financial gains or expenses. Errors are serious and may be difficult to discover, and normally involve decisions not subject to detailed review and will result in excessive costs and/or significant project delays.

COMMUNICATION/INTERACTIONS

Collaborate and solve problems – works with others to resolve problems, clarify, or interpret complex information/ policies, and provide initial screening/negotiations without approval authority. Interactions are typically with customers, senior level professional staff, and managers.

CUSTOMER RELATIONSHIPS

Regularly assesses and diffuses complex, and escalated customer issues. Takes personal responsibility and accountability for solving systemic customer service problems. Regularly explores alternative and creative solutions to meeting the needs of the customer within HISD’s policies and guidelines.

WORKING/ENVIRONMENTAL CONDITIONS

Work involves some exposure to moderate risk of accident and requires following basic safety precautions.
